Passport applications in South Africa and Zimbabwe

Covers: South Africa · Zimbabwe

A passport application fails for boring reasons: a missing supporting document, an unbooked appointment, or a payment made through the wrong channel. This page sets out what to prepare, where to apply and what to do when your application stalls.

How it works

What you need

  • Valid national identity document (South African smart ID / green barcoded ID, or Zimbabwean national ID)
  • Unabridged birth certificate for first-time and minor applicants
  • Parental consent and both parents' IDs for minors
  • Previous passport, or a police report if it was lost or stolen
  • Proof of payment of the application fee

Step by step

  1. 1

    Confirm which passport you need

Ordinary, emergency/temporary or replacement — each has different documents and turnaround times.

  2. 2

    Book your appointment

In South Africa, book through the Home Affairs eHomeAffairs portal or a participating bank branch. In Zimbabwe, apply through the Registrar General's passport offices.

  3. 3

    Pay through the official channel

Pay online or at the counter/bank as instructed. Keep the receipt or reference — it is your proof if the application goes missing.

  4. 4

    Submit biometrics in person

Fingerprints and photographs are captured at the office or bank branch. Bring originals of every supporting document.

  5. 5

    Track and collect

Use the official tracking channel with your reference number, and collect at the office you selected.

When your application is delayed

If the stated turnaround has passed, escalate in writing rather than by repeat visits. A dated, referenced follow-up letter creates a record you can rely on later.

  • Quote your application/reference number and the date of submission
  • State the published turnaround and how far past it you are
  • Ask for a written status and an expected collection date
  • Keep every reply — ThusoAssist stores them in your case file
